Organization of Information

Statement of Competency:
Demonstrate understanding of basic principles and standards involved in organizing information such as classification and controlled vocabulary systems, cataloging systems, metadata schemas, or other systems for making information accessible to a particular clientele.

Introduction

The organization of information is a foundational principle within library and information science (LIS), enabling users to locate, access, and interpret information effectively. Competency G focuses on understanding and applying the standards and systems used to organize information, including cataloging systems, metadata schemas, classification structures, and controlled vocabularies. These systems provide the framework that transforms individual information items into accessible and usable collections.

At its core, organizing information requires the use of standardized frameworks that ensure consistency across systems. Cataloging systems such as MARC and descriptive standards like Resource Description and Access (RDA) provide structured methods for representing bibliographic information. Joudrey and Taylor (2018) emphasize that consistency in applying cataloging rules is essential for maintaining reliable access points within information systems. Without standardization, information becomes fragmented, limiting both discovery and retrieval.

Metadata plays a central role in this process by describing and linking information resources. Zeng and Qin (2016) define metadata as structured information that supports identification, discovery, and management of resources across systems. Metadata elements such as title, creator, subject, and classification enable users to navigate collections efficiently and allow systems to function across different platforms. Hirsh (2022) further explains that information professionals are responsible for organizing resources in ways that ensure accessibility for diverse user communities, reinforcing the importance of metadata in both physical and digital environments.

Controlled vocabularies and classification systems further enhance organization by standardizing the language used to describe information. Rather than relying on inconsistent or user-generated terminology, controlled vocabularies group similar concepts under uniform descriptors. This reduces ambiguity and improves retrieval accuracy. Bates (1999) highlights that the effectiveness of information systems depends not only on the content itself but on how that content is represented and structured. Similarly, Chowdhury (2010) notes that classification and indexing systems are essential for bridging the gap between users and information by providing consistent pathways for access.

In addition to technical standards, effective organization must consider user behavior. Systems that are overly rigid or disconnected from user expectations may hinder access rather than support it. User-centered approaches, such as card sorting, help align organizational structures with how users naturally categorize and search for information (Spencer & Warfel, 2004). These approaches demonstrate that organization is both a technical and human-centered process.

Through my coursework, I have applied these principles across multiple systems, including MARC cataloging, controlled vocabulary development, and database design. These experiences have allowed me to understand how standards, metadata, and user-centered design work together to support access. This competency reflects my ability to apply organizational frameworks in ways that make information consistent, accessible, and meaningful across a variety of contexts.

Evidence

My understanding of information organization has developed through coursework that required me to apply cataloging standards, controlled vocabularies, and structured data systems. Through assignments in INFO 248 and INFO 202, I worked with both traditional library systems and user-centered database design, allowing me to understand how information is structured across different environments. The following artifacts demonstrate my ability to apply standards and principles that support consistent organization and accessibility.

Artifact #1

Descriptive Cataloging MARC Record (INFO 248: Beginning Cataloging and Classification)

Justification

This artifact demonstrates my initial application of cataloging standards using MARC records. In this assignment, I created bibliographic records by identifying and organizing key descriptive elements such as title, author, and publication information within the appropriate MARC fields.

The process required understanding the structure of MARC and how each field contributes to organizing information. For example, fields such as 245 (title) and 300 (physical description) provide standardized locations for key descriptive data.

This artifact reflects the foundational principles of information organization and highlights the importance of accuracy and consistency. It also demonstrates my early development in applying cataloging standards and understanding how structured metadata supports retrieval.

Artifact #2

MARC Records 1–12 (INFO 248: Beginning Cataloging and Classification)

Justification

This artifact demonstrates my ability to apply cataloging standards at a more advanced level. In this assignment, I created a complete set of MARC records, incorporating classification systems such as Library of Congress Classification (LCC) and Dewey Decimal Classification (DDC), as well as subject headings.

For example, I assigned classification numbers and subject headings using standardized fields such as 050, 082, and 650, ensuring that each record aligned with established cataloging practices.

This artifact demonstrates my understanding of how classification and subject access points support information retrieval. It reflects my ability to apply multiple standards simultaneously, reinforcing the importance of structured organization in library systems.

MARC Records Adjusted (INFO 248: Beginning Cataloging and Classification)

Justification

This artifact demonstrates my ability to evaluate and refine organized information. In this assignment, I revised MARC records to improve consistency, accuracy, and adherence to standards.

The revision process included refining subject headings, correcting inconsistencies, and applying authority control to ensure standardized representation of names and topics.

This artifact highlights that information organization is an iterative process. It demonstrates my ability to assess and improve systems, ensuring that metadata remains accurate and effective for retrieval.

Artifact #4

Database Design: LEGO Botanical Collection (INFO 202: Information Retrieval System Design)

Justification

This artifact demonstrates my ability to apply organizational principles in a user-centered system. In this project, I contributed to designing a database that organizes information based on user needs and search behavior.

The system included structured fields such as set name, botanical type, price range, and number of pieces. These fields were designed using controlled values and dropdown menus to ensure consistency and reduce ambiguity.

In addition to the interface design, I developed a supporting data structure that defined attributes and values for organizing information consistently. For example, attributes such as fabric type, color, size, and purpose were grouped and standardized to ensure that each item could be categorized and retrieved effectively.

This underlying structure demonstrates how controlled organization at the data level supports both indexing and retrieval.

The system also incorporated rules for data entry to standardize how information was represented. Users were instructed not to guess values and to rely on authoritative sources, reinforcing the importance of accuracy and consistency in information organization.

This artifact demonstrates how organizational principles extend beyond traditional cataloging into digital environments. It reflects my ability to design systems that integrate structured data, controlled vocabularies, and user-centered organization to support effective access.

Conclusion

Through these artifacts, I have developed a strong understanding of how information is organized using established standards and systems. My work with MARC records demonstrated the importance of structured metadata and classification systems, while my experience with controlled vocabularies and database design highlighted the role of consistency and user-centered organization. Together, these experiences reinforced that effective organization is essential for ensuring access to information.

This competency emphasized that organization is not a static process, but one that requires continuous evaluation and refinement. As systems evolve and user needs change, information professionals must adapt organizational frameworks to maintain usability and relevance. By applying standards such as MARC, classification systems, and controlled vocabularies, information professionals create systems that support both precise retrieval and broader discovery.

As I move forward in my career, I will continue to apply these principles by designing and maintaining systems that prioritize clarity, consistency, and accessibility. I will remain engaged with evolving standards and best practices in metadata and information organization to ensure that the systems I develop support diverse users and changing information environments.
